You've booked a professional corporate photographer.

The lighting is ready. The background is set up. Everyone has been assigned a photography slot.

Then the employees start arriving.

One person wears a business suit. Another turns up in a polo shirt. Someone else arrives wearing a bright red jacket.

And all these photographs are supposed to appear together on the company's website.

See the problem?

After 20 years of photographing corporate executives, management teams and employees, I've learned that what people wear can make a significant difference to the consistency of corporate headshots.

The good news? Preparing for corporate headshots doesn't have to be complicated.

Here's what I normally recommend to my clients.

1. Start With Your Company's Corporate Branding Guidelines

Before advising anyone on what to wear, I normally ask the client's Person in Charge (PIC) one question:

"Does your company have a corporate branding or attire guideline?"

If the answer is yes, we'll start there.

Some companies have official uniforms or branded shirts. Others follow a specific colour scheme or professional dress code.

If the company's uniform includes its logo, that can work very well for corporate photography.

There's no reason to ask employees to wear black suits if their everyday professional identity is represented by a branded corporate uniform.

For companies with a more casual working environment, smart casual attire may be perfectly suitable.

The objective isn't to make everyone look formal. It's to make everyone look appropriate for the company they represent.

2. What Colours Work Best for Corporate Headshots?

If your company doesn't have specific attire guidelines, I usually recommend starting with neutral colours.

A black blazer with a white shirt is a safe combination.

Other options include navy blue, grey and other understated colours.

These colours tend to photograph well and help keep attention on the person's face.

What about bright colours?

I generally discourage bright red, green or purple jackets, particularly when the photographs will appear together as a collection of management portraits.

Strong colours can draw attention away from the subject and affect the overall consistency of the photographs.

But there's an exception.

If a bright colour is part of your company's official branding, that's a different story.

The brand identity should take priority over my personal colour preferences.

The final wardrobe direction should always be discussed with the client's PIC.

3. Should Every Employee Wear the Same Outfit?

Company colours is what we follow in attire - Yiwugou Management Team.

Coordinated company attire can create a consistent appearance across team photographs. - Yiwugou Management Team.

Not necessarily.

If your company has an official uniform, I recommend that employees follow it.

My corporate photography assignment for Yiwugou (M) Sdn. Bhd. is a useful example of how coordinated company attire can support a consistent appearance across team photographs.

We photographed the management team, employees and CEO for different corporate uses.

The assignment included formal headshots, group photographs and more relaxed executive portraits.

The clothing and photographic style needed to suit each purpose.

But what if your company doesn't have a uniform?

That's fine too.

You can coordinate the formality and colour choices without asking everyone to wear identical outfits.

For example, management may wear business suits, and employees may follow a smart casual dress code.

The important thing is to agree on the intended appearance before the photography day.

4. What Clothing Should You Avoid?

There are several things I normally advise employees to avoid during corporate headshot sessions.

  • Busy patterns - Large checks, complicated prints and distracting patterns can compete with the person's face.

  • Oversized or poorly fitted clothing - Clothing that doesn't fit properly can make the subject look untidy, particularly in half-body portraits.

  • Shiny fabrics - Highly reflective materials may produce distracting highlights under professional lighting.

  • Large logos - Unless the logo belongs to the company being photographed, large branding on clothing can distract from the intended corporate appearance.

  • Excessive jewellery - Large necklaces, oversized earrings and other prominent accessories can pull attention away from the subject.

  • Clothing that doesn't match the agreed dress code - A casual T-shirt may work for one company but look out of place in a collection of formal boardroom portraits.

My advice is simple.

Choose clothing that supports your professional image rather than competing for attention.

5. Makeup, Hair and Grooming Matter Too

One of the biggest mistakes I see is wearing makeup that's too heavy or glamorous for a professional corporate portrait.

Corporate headshot photography isn't a fashion or glamour photoshoot.

For ladies, I generally recommend simple, natural-looking makeup.

The objective is to look fresh, presentable and recognisable.

For gentlemen, tidy hair and basic grooming are usually sufficient. Hair gel or styling products can help keep hair neat during the session.

Before arriving, I recommend:

  • Having your hair cut or styled beforehand

  • Ironing your shirt, blazer or other clothing

  • Checking that your collar and buttons are properly arranged

  • Bringing a spare shirt or blazer when practical

  • Following the company's grooming and attire instructions

For employees wearing a hijab, the same corporate branding guidelines apply.

If there is no designated colour or style, choose something comfortable, neatly arranged and appropriate for the agreed wardrobe direction.

There is no need to force everyone into a particular hijab style.

The goal is to make people look professional and comfortable as themselves.

6. What About Glasses, Watches and Jewellery?

You don't necessarily have to remove your glasses for a corporate headshot.

If you normally wear glasses, there's no reason you shouldn't wear them in your professional portrait.

I'll adjust the lighting or posing where possible to minimise reflections.

Watches and modest jewellery are usually fine.

It's excessive accessories that I tend to discourage.

Again, I want the attention to stay on the person.

7. What Happens When Employees Don't Follow the Dress Code?

This happens.

A company may have communicated the attire guidelines, but someone arrives wearing something different.

Do we cancel their photography session?

Not necessarily.

My first approach is to accommodate the situation.

Sometimes a small adjustment is sufficient.

We might straighten a collar, adjust a jacket or change the posing and composition to minimise a distracting clothing detail.

If the difference is significant, I'll discuss it with the PIC.

We can consider whether the person has a suitable alternative outfit, whether their session can be rearranged or whether the attire is acceptable for the intended use.

What I wouldn't recommend is expecting Photoshop to completely replace a poorly planned wardrobe.

Basic retouching can address minor imperfections, but it shouldn't become a substitute for proper preparation.

The photographer and the PIC need to make a practical decision together.

After all, we're working with real people and real corporate schedules.

A little flexibility helps.

8. Real Corporate Photography Examples

I've photographed different organisations with different wardrobe requirements.

For my corporate photography assignment at The Coffee Bean & Tea Leaf Malaysia, the agreed attire followed the company's corporate and smart casual direction.

We photographed senior management, department heads and team members.

The wardrobe guidelines formed part of the pre-production planning, alongside our photography timetable, posing references and makeup arrangements.

That preparation helped us produce a consistent collection of portraits across different departments.

For the CCOB Board of Directors and management portraits, professional styling was part of the photography arrangement.

The client had makeup and styling support on location.

This made it easier to maintain a coordinated appearance across the portraits, allowing me to concentrate on the lighting, expressions and posing.

Each company has its own identity.

That's why I don't believe there's one universal dress code that works for every corporate photography assignment.

9. My Advice to HR and Corporate Communications Teams

If you're organising corporate headshots for your employees, don't leave the wardrobe instructions until the photography day.

Discuss the requirements with your photographer and communicate them early.

I'd suggest sending a simple preparation guideline covering the agreed dress code, preferred colours, grooming, accessories and any spare clothing employees should bring.

Most importantly, explain why the photographs are being taken.

Black, navy, grey and white are dependable choices. If your company has official branding colours or uniforms, follow those guidelines instead.

No. A blazer is suitable for formal portraits, but smart casual attire or official company uniforms may be more appropriate for some businesses.

  3. Should everyone wear the same colour?

Not necessarily. Consistent formality and a coordinated colour scheme are usually sufficient, unless your company has a specific uniform requirement.

  4. Can I wear a hijab for corporate headshots?
