Introduction

Most people have never organised a corporate photoshoot before. That means it's perfectly normal to have questions:

  • How long will it take?

  • Will the office be disrupted?

  • What should everyone wear?

  • What if my staff don't like having their photos taken?

  • Do we need to prepare anything beforehand?

If you're asking those questions, you're in the right place.

This guide explains exactly how I work, from our first conversation to the final delivery of your photographs. My goal isn't just to create professional images - it's to make the whole experience smooth, efficient, and enjoyable for everyone involved.

Every Company Has a Different Story

Corporate Portrait is more than just profile photos - Dwisolar Corporate Portrait

Corporate Portrait is more than just profile photos - Dwisolar Corporate Portrait

One thing I've learnt over the years is that no two companies are the same. Some clients need a handful of executive portraits. Others need photographs of over 200 employees across multiple locations. Some are launching a brand-new website, while others are refreshing images that have been on their website for nearly a decade.

That's why I don't believe in offering the same solution to everyone.

The first step is always understanding your business.

Step 1 – Our First Conversation

This isn't a sales call; it's a discovery session. I want to understand:

  • Why you need professional photography

  • Where the images will be used

  • Your target audience & company culture

  • Your timeline & expectations

Sometimes clients think they only need headshots.

After our discussion, they realise they need a comprehensive suite of corporate photography services, which can include website banner images, team collaboration photos, and recruitment content and office lifestyle photography. The earlier we identify those needs, the better we can plan the session.

If you are currently vetting vendors, read through my checklist of the most important things to ask your corporate photographer in Malaysia before you jump on your first call.

Step 2 – Site Visit (One of the Most Important Steps)

Whenever possible, I like to visit your office before the shoot. It allows me to prepare before shoot day instead of making decisions on the spot. During the site visit, I'll look at:

  • Natural light: Which areas receive the best light? Which spaces become too dark during the afternoon? Will we need additional lighting?

  • Available shooting locations: Reception, meeting rooms, boardrooms, open office spaces, private offices, outdoor areas, building entrances, or the rooftop.

  • Backgrounds: Some backgrounds look fantastic in person but become distracting in photographs. I'll identify locations that best represent your company while keeping the images clean and professional.

  • Space for lighting equipment: Corporate lighting doesn't require a huge amount of space, but it's helpful to know where equipment can be placed without blocking walkways or interrupting your staff.

  • Workflow: Can we move from room to room efficiently? Is there enough space for team photographs? Where can people wait between sessions?

Step 3 – Planning the Photoshoot

Once I understand your office and your objectives, I'll start building a photography plan. This usually includes a shooting schedule, priority list, shot list, team order, location sequence, and a backup plan if rooms become unavailable.

Planning reduces stress for everyone.

Step 4 – Preparing Your Team

I will send a Storyboard before corporate shoot

I'll send guidance before the shoot so everyone knows what to expect. This covers dress codes, posing ideas, colours that photograph well, grooming, and accessories. The idea isn't for everyone to look identical - it's for the team to look consistent.

Step 5 – Preparing Your Office

People often spend time preparing themselves but forget about the office. A few small changes make a big difference:

  • Clear unnecessary paperwork and confidential documents

  • Tidy up loose cables and clean glass doors

  • Remove temporary signage and organise meeting tables

  • Check indoor plants and turn on decorative lighting where appropriate

Step 6 – Shoot Day

This is usually the easiest part because everyone already knows the plan. I normally arrive early to unload equipment, set up lighting, test exposure, and walk through the locations one final time. Once everything is ready, we begin according to schedule.

To see a real-world example of how we handle sudden adjustments on the ground, read about my experience adapting to last-minute location changes during a corporate shoot for the Securities Industry Development Corporation (SIDC), where we smoothly shifted from an outdoor plan to a mobile indoor studio setup.

Step 7 – Guiding Everyone in Front of the Camera

Almost nobody enjoys being photographed. That's completely normal. I'll guide each person with simple instructions. No complicated posing, no awkward smiles - just natural direction that helps people look confident and approachable. You can read about how this structured approach to team photography helped a local team drop their camera shyness in just a two-hour session.

Step 8 – Creating More Than Headshots

Corporate photography isn't just about profile photos. I usually recommend building a complete image library. That may include:

You can see a great example of this energetic, branding-first approach in my showcase of corporate photography for Learn-Speak-N-Grow, where we captured everything from individual headshots to active team collaboration.

For larger industrial and corporate entities, see how we captured everything from senior leadership to on-site operations in my showcase on board, team, and factory photography for Fairview Group.

Step 9 – Professional Editing

Editing the images to make it beautiful

Every selected image receives professional editing. My editing style is clean, natural, and consistent. You'll still look like yourself - just on a really good day.

Step 10 – Delivery

Images are organised for easy use. Depending on the project, files may be prepared for your website, LinkedIn, press releases, Google Business Profile, annual reports, or recruitment campaigns. No more hunting through hundreds of unnamed files.

Frequently Asked Questions (FAQ)

How long does a corporate photoshoot take?

Environmental Portrait of Sumisaujana Berhad

The duration depends entirely on the size of your team and the scope of the shot list. A session for a small team needing only basic headshots can take 2 to 3 hours. For larger companies requiring executive portraits, team photos, and office lifestyle imagery, a full-day shoot (8 hours) or multiple days may be required. We provide a detailed schedule beforehand to map this out precisely. For instance, see how we managed a tight timeline during a high-profile board of directors photography session where efficiency was paramount.

Should everyone wear the same colours for a corporate shoot?

No, everyone does not need to wear identical colours. In fact, matching perfectly can look artificial. Instead, aim for a cohesive colour palette that aligns with your brand (e.g., cool tones like blues, greys, and whites, or warm earth tones). We recommend avoiding ultra-bright neon colours, busy patterns, or large distracting logos.

How many people can be photographed for headshots in a single day?

For high-quality, individually guided corporate headshots, we can comfortably photograph 20 to 30 people per day. This allows roughly 10 to 15 minutes per person to adjust lighting, build rapport, and capture a variety of expressions without making your staff feel rushed.

Can you photograph multiple office locations?

Yes. We regularly handle multi-site corporate shoots to ensure visual consistency across an entire organisation. Whether you have multiple branches across town or offices in different regions, we can coordinate a multi-day schedule to match the style across all locations.

Do you travel outside Kuala Lumpur for photoshoots?

Business Portrait can be stylish too - Mr Pukal of Giat Solutions Sdn Bhd

Yes, we frequently travel outside of Kuala Lumpur for corporate projects across Malaysia. Travel fees and logistical arrangements depend on the destination and duration of the shoot, which will be clearly outlined in your initial proposal.

Can you conduct photoshoots after office hours or on weekends?

Yes. If your business handles high client volumes or sensitive operations during regular hours, we can schedule the session during evenings or weekends to minimise operational disruption.

How soon will we receive our edited corporate images?

Standard delivery is 7 working days after all payment has been made.

Will the photography equipment take up a lot of space in our office?

Our corporate lighting kits are modern, compact, and highly mobile. We usually only need a clear 10ft x 12ft space (such as a medium-sized meeting room or a corner of a quiet breakaway area) to set up a professional headshot station safely without blocking corridors.

But we’ve done headshots in small sized room!

What files and resolutions do you deliver?

We deliver your final images in two distinct formats: High-Resolution JPEGs (perfect for print, annual reports, and large-scale marketing) and Web-Optimised JPEGs (perfectly cropped and compressed for lightning-fast loading on websites and LinkedIn profiles).

Things I've Learnt After 18 Years of Photographing Professionals

Happy Clients during a Shoot - SIDC Corporation

The Person Who Says "I'm Not Photogenic" Usually Surprises Me

It's probably the most common sentence I hear. Then we start talking. A few laughs later, they relax. The shoulders drop. The smile becomes natural. Before long, they're looking at the back of my camera saying, "That's actually me?" Being photogenic isn't a talent. It's usually the result of good lighting, clear direction, the right expression, and feeling comfortable. That's my responsibility, not yours.

Great Corporate Photography Starts Long Before the Camera Comes Out

People often think the photoshoot begins when I unpack my equipment. In reality, it starts days or even weeks earlier. The conversations, planning, site visit, scheduling, and preparation all contribute to the final result. When those pieces come together, the shoot feels effortless.

The Best Offices Aren't Always the Most Expensive

A clean meeting room, organised workspace, and thoughtful lighting.

A clean meeting room, organised workspace, and thoughtful lighting.

What makes the biggest difference isn't the size of the office - it's how well it's prepared. A clean meeting room, organised workspace, and thoughtful lighting will almost always produce better photographs than an expensive office filled with clutter. Professional photography is about directing attention to what matters.

People Don't Need to Know How to Pose

This worries many clients before the shoot. The truth is, I don't expect anyone to arrive knowing what to do. I'll guide posture, where to stand, what to do with your hands, where to look, and even when to smile. Simple adjustments often make a remarkable difference.

Every Company Has Its Own Personality

Some offices are quiet and formal. Others are energetic and collaborative. Neither is better. My goal isn't to make every company look the same - it's to create photographs that genuinely reflect your culture so your website feels like an honest representation of your business.

Team photos on your website is win! Stop using generic stock photo

When someone visits your website, the images should feel like an honest representation of your business culture. We bring this out whether we are styling creative spaces or doing corporate photography for law firms and professional services.

The Best Photographs Usually Happen Between the Poses

Some of my favourite photographs weren't planned. They're the moments in between: someone laughing after a conversation, a genuine discussion between colleagues, or a quiet moment before a meeting begins. Those natural interactions feel authentic and often become the images clients use the most.

See an example of this in action with my case study on capturing a company's real story through corporate photography during our session with CityFM Asia.

A Photoshoot Shouldn't Disrupt Your Business

With proper planning, we can photograph individuals, teams, and office environments while your business continues operating. Meetings still happen, clients are served, and phones still ring. The goal is to fit the photoshoot around your business, not expect your business to fit around the photoshoot.

These Photographs Will Represent Your Company for Years

The photographs we create won't just be used next week. They'll appear on your website, LinkedIn profiles, proposals, recruitment campaigns, and annual reports for years to come. Long after the lighting has been packed away, those images will continue introducing your business to potential clients and future employees. That's why I believe it's worth taking the time to do it properly.

Final Thoughts

Professional photography isn't just about cameras or lighting. It's about helping your business make a strong first impression and giving your team images they'll be proud to use.

When you work with me, you're not just hiring someone to take photographs. You're partnering with someone who plans the process, guides your team, and helps create an image library that supports your business long after the shoot is over.
